How to Set and Track Belt Ranks
In this article, we'll walk through how belt ranks work in the CRM, how to add or update a student's rank, and how the system tracks progress toward the next belt. This is for martial arts studios.
The Key Steps
1. Understand Belt Ranks on a Contact
Each student's rank lives on a Belt Ranks card on their contact profile. For every rank it shows:
- Style: the rank track, for example Karate, Brazilian Jiu Jitsu, or Kids Taekwondo
- Belt Rank: the current belt
- Stripes: how many stripes the student has on that belt
- Promoted: the date they received the rank
- Next Rank and Progress: the belt they are working toward and how far along they are, for example Classes 1/50 or Time 15/30 days
2. Add or Update a Rank
- Open the student's contact profile.
- Find the Belt Ranks card.
- Click Add Rank.
- Select the Style, for example Karate or Kids Taekwondo.
- Select the Belt Rank from the options for that style, for example White Belt, White Belt with 1 Stripe, or Blue Belt.
- Set the Promotion Date, which is when they received the rank.
- Save.
A student can have ranks across multiple styles.
3. How Progress to the Next Rank Works
The system tracks each student's progress toward the next belt based on classes attended and days since promotion, however your ranks are set up. The Belt Ranks card shows live progress, for example Classes 1/50 toward the next belt.
When a student is ready to move up, record the new belt by adding a rank with the new belt and the promotion date. The history keeps each promotion, and the most recent rank is their current one.
4. Manage Ranks for a Whole Promotion (Mass Promotions)
For promotion ceremonies, you can update everyone at once.
- Set up a mass promotion with the students being promoted and their new belts.
- Run the promotion to update everyone's rank at the same time.
When a student's rank is updated in a promotion, it syncs to their profile, so you do not have to edit each contact individually.
5. Filter Contacts by Rank
You can use a belt rank smart list filter to build a list of students at a specific rank, for example all current White Belts or everyone eligible for the next test. This is useful for planning testing events and promotions.
