Ranks & Rosters – Studio Setup
In this article, we’ll walk through the Ranks & Rosters section located under the Studio Operations tab and explain how to build belt progressions and organize students into structured groups.
The Key Steps
1. Navigate to Ranks & Rosters
Click the Studio Operations tab in the left-hand navigation menu.
Click Ranks & Rosters.
You will see two main sections:
- Styles
- Rosters
2. Create & Manage Styles (Belt Rank Progressions)
The Styles section represents your martial arts program structure (e.g., Karate, BJJ, Taekwondo).
You can create separate styles if needed. For example:
- Kids Karate
- Adult Karate
- Brazilian Jiu-Jitsu
Each style can have its own unique rank progression.
Create a Rank
Within a style, click to Create a Rank.
For each rank, you can:
- Enter the Rank Name
- Select a Belt Color
- Solid color
- Half-and-half color
- Choose stripe options:
- Single stripe
- Double stripe
Set Promotion Requirements
For each rank, you can define:
- Days required at current rank
- Classes required for promotion
Once a student reaches the defined thresholds, they will become eligible for promotion (promotion management is covered in a separate video).
Reorder & Edit Ranks
If you need to adjust rank order:
- Use the alignment/reordering options to move ranks into the correct progression order.
- Click Edit at any time to update rank details.
Once complete, you can return to view all created styles.
3. Create & Manage Rosters
Click into the Rosters section.
A roster is a way to group students together and assign them to specific classes.
For example:
- Kids Beginner Roster
- Advanced Teens
- Adult Fundamentals
Create a Roster
When creating or editing a roster, you can:
- Name the roster
- View all students assigned
- Export the roster as a CSV file
Assign Classes to a Roster
Within the roster, you can assign specific classes.
For example:
If this is a Kids Beginner Roster, you might assign:
- Kids Martial Arts
- Intro to Martial Arts
- Beginner Fundamentals
(Refer to the Class Management video to learn how to build classes.)
Once classes are assigned and saved:
- Students in the roster will appear properly in attendance tracking.
- Names will populate correctly for kiosk check-in.
- You can send group messaging.
- You can enroll the entire roster into workflows.
4. How Rosters Connect to Attendance & Automation
When students are grouped into a roster:
- Attendance tracking pulls from roster assignments.
- Messaging can be sent to the entire group.
- Workflows can be triggered for all students in that roster.
- Kiosk check-ins are streamlined.
This helps you organize your programs and automate communication efficiently.
