How to Cancel, Complete, or Remove an Event or Birthday Party
In this article, we'll walk through how to manage an event or birthday party you no longer need on your calendar, including the difference between its status options.
The Key Steps
1. Understand the Status Options
Events and birthday parties use a status to control whether they appear as upcoming and bookable. The available statuses are:
- Draft: being built, not yet live or bookable
- Published: live and bookable
- Canceled: no longer happening, so it stops appearing as an upcoming or bookable item
- Completed: the event has already happened
There is no delete option for events or birthday parties. To stop showing one you no longer need, change its status to Canceled if it has not happened, or Completed if it has. This is expected, because the record keeps its history, including registrations, RSVPs, and payments.
2. Cancel an Event
- Open the event from Studio Operations, then Events.
- Click Edit Event.
- In the Status field, choose Canceled.
- Click Update Event.
The event no longer appears as upcoming or bookable.
3. Cancel a Birthday Party
- Open the party from Studio Operations, then Birthday Parties.
- Open the party's details.
- Click the current status, for example Published, to open the options.
- Choose Canceled.
- Save your changes.
The party stops appearing in your upcoming list. There is no delete option for a birthday party, so canceling it is the way to remove it from your active parties.
Note: If you entered a past date only to stop a party from showing, you can set the status to Canceled instead, or Completed if it already happened. That is the supported way to clear it.
4. Mark a Party or Event Completed
Once an event or birthday party has happened, set its status to Completed so it moves out of your active and upcoming lists while keeping its RSVP and attendance record.
