The Key Steps
1. Set Up a Birthday Party
Birthday parties are managed from the CRM so guests can book and RSVP, and your team can check them in at the event.
- Navigate to the Birthday Parties section in your CRM.
- Create a new party with the event details.
- Save the party to make it bookable.
Event details include:
- Date and time
- Package and pricing (what is included, number of guests)
- Location and any fields required for booking
2. Share the Booking Link
Guests book the party through a shared link. Share it directly with the family, or embed it on your website.
- The booking flow collects the party details and the guest's RSVP
- You can view and manage all RSVPs from the party's page in the CRM
3. Check Guests In at the Kiosk
On party day, use the check in kiosk to welcome guests.
- Open the party's check in kiosk.
- Guests or staff check in as they arrive.
The kiosk automatically resets after each RSVP, ready for the next guest, so you do not need to clear the screen between arrivals.
4. Track Your Party Calendar
Your dashboard includes an Upcoming Birthdays widget so you never miss a member's special day. It shows members with birthdays coming up, adjusted to your location's timezone, along with the age they are turning. This is useful for sending a personal message or spotting party opportunities.
5. Automate with Workflows
You can also add birthday related triggers to workflows to send automated messages on a contact's birthday, or a set time before it. This works well for promotions and greetings.
