How to Process a Payment
Market Muscles lets you create invoices and collect payments directly from a contact's profile. This article walks you through how to create an invoice, add line items, and send it to a member or contact for payment.
The Key Steps
1. Open the Contact's Profile
Navigate to Contacts > Overview and click on the contact you want to bill. This opens their full profile page.
2. Go to the Invoices Tab
On the contact's profile, click the Invoices tab in the top navigation bar. You will see a list of any existing invoices for this contact and a + New Invoice button in the top-right corner.
3. Click New Invoice
Click the + New Invoice button. This opens the invoice creation form, which is pre-filled with your studio's information and the contact's name in the Bill To field.
4. Set the Due Date
The invoice date defaults to today. Use the Due date picker to set when the payment is due (the default is 30 days out).
5. Add Line Items
Add items to the invoice using one of two options:
- + Custom Item — enter a custom description, quantity, and price for a one-off charge
- Add Product — select from your existing product catalog to auto-fill the description and price
Each line item shows the Description, QTY (quantity), Price, and calculated Amount. You can add multiple line items to a single invoice.
6. Apply a Coupon (Optional)
If the contact has a coupon or discount code, enter it in the Coupon code field and click Apply to reduce the invoice total.
7. Review Taxes and Fees
Below the line items, the invoice summary shows toggles for:
- Sales Tax — applies your configured sales tax rate to the subtotal
- Wallet Tax — applies a wallet tax percentage if applicable
- Processing Fee — includes the payment processing fee in the total
- Platform Fee — includes the platform fee in the total
Toggle each on or off depending on how your studio handles taxes and fees. The Total updates automatically as you adjust these settings.
8. Add Notes (Optional)
Use the Notes field to include any payment instructions or additional context for the contact (e.g., “Payment due upon receipt” or “Covers belt testing and uniform”).
9. Create the Invoice
Click Create Invoice to finalize and save the invoice. The invoice will appear in the contact's Invoices tab and can be sent to the contact for payment.
Other Ways to Manage Payments
Payment Methods
Click the Payment Methods tab on a contact's profile to view, add, or request payment methods on file. You can:
- Add Payment Method — manually add a card or bank account to the contact's profile
- Request — send the contact a request to add their own payment method
Wallet
The Wallet tab on a contact's profile shows their wallet balance and transaction history. You can:
- Add Credits — add a credit balance to the contact's wallet
- Deduct — remove credits from the wallet
- Fund Wallet — charge a payment method to add funds to the wallet
Invoices from Studio Operations
You can also create and manage invoices from the main navigation by going to Studio Operations > Invoices. This shows all invoices across all contacts in one place.
Best Practices
- Use the Add Product button for standard charges like tuition or testing fees — this keeps pricing consistent and speeds up invoice creation
- Add clear descriptions to every line item so contacts understand what they are being charged for
- Keep payment methods on file updated — encourage members to update expired cards to avoid failed payments
- Review taxes and fees before creating each invoice to make sure the total is accurate
- Use the Notes field to include payment terms or instructions so contacts know when and how to pay
