New Enrollment – Finance (Studio Operations)
In this article, we’ll walk through the New Enrollment section located under Studio Operations → Finance and explain how to enroll members or trials directly from the system.
The Key Steps
1. Navigate to New Enrollment
Click the Studio Operations tab in the left-hand navigation menu.
Then:
- Click Finance
- Click New Enrollment
This section allows you to enroll someone standing in front of you.
2. Choose Enrollment Type
At the top, select whether you are enrolling:
- A Membership
- A Trial
Membership Enrollment
3. Select a Membership
Choose the membership from the list of available options.
You can also:
- Choose whether to Send the Agreement for signature
4. Add Purchaser Information
You can choose:
- Existing Contact (search and select from your system)
- New Customer (enter first name, last name, email, phone)
If the purchaser is also the participant:
- Click the toggle to use the same information
If the purchaser is signing up a dependent:
- Enter separate participant details
5. Add Multiple Participants (Family Enrollment)
You can add multiple participants under one enrollment.
Each participant:
- Receives their own membership
- Is linked within a family unit
- Shares the same purchaser (if applicable)
This is helpful for:
- Siblings
- Family memberships
If one participant later cancels, the others remain active without disrupting billing.
6. Enter Payment Information
Choose a payment method:
- Credit Card
- ACH
- Cash (for in-person payments)
You can:
- Enter payment details manually
- Send a secure payment link via email for them to complete
(Note: Some Stripe configurations may require secure link entry instead of manual entry.)
7. Review Pricing & Adjustments
On the right-hand side, you will see:
- Down Payment
- Recurring Amount
- Credit Card Fee
- Platform Fee
- Total Due Today
You can:
- Apply a Coupon Code
- Adjust pricing for this specific enrollment
As you add participants, the totals update automatically.
You can also review:
- Payment Schedule
- Billing Start Date
- End Date (if applicable)
Trial Enrollment
8. Select a Trial
If enrolling a trial, you can:
- Choose the Trial
- Set Start Date
- Set End Date
- Select Agreement (if required)
9. Add Purchaser & Participant
Just like memberships, you can:
- Select an existing contact
- Add a new contact
- Add multiple participants if needed
You can also include:
- Internal notes (saved to the contact profile)
10. Complete the Enrollment
Review all details on the right-hand side.
Once everything is confirmed:
- Process payment (if applicable)
- Complete enrollment
The system will:
- Create or update the contact(s)
- Attach the membership or trial
- Apply billing settings
- Send agreements (if enabled)
The New Enrollment section is designed for quick, front-desk signups and family enrollments, keeping everything organized and properly linked in your system.
