Class Management System – Studio Setup
In this article, we’ll walk through the Class Management System located under the Studio Setup tab and explain how to create classes, build schedules, manage spaces, and set up surveys.
The Key Steps
1. Navigate to the Class Management System
Click the Studio Operations tab in the left-hand navigation menu.
Click Class Management System.
You will see Classes as the first option.
2. Create or Manage Classes
Click New Class to create a class.
If you already have classes created, you can:
- Click Edit to make changes
- Click Duplicate to copy an existing class
When creating or editing a class, you can:
- Enter the Class Name
- Add a Description
- Assign a Category (optional, for organization)
- Select a Style
- Styles must be created beforehand
- Styles determine how attendance is tracked
- Assign a Space (e.g., Main Mat, Training Room)
- Toggle the class as Active or Inactive
- Enable Guardian Check-In SMS (to notify guardians when a dependent checks in)
3. Add Time Slots & Instructors
Within each class, you can:
- Add Instructors
- Select the Day(s)
- Set the Time
- Define a Maximum Capacity
If you need multiple time slots in one day:
Click Add Time Slot
Add additional days and times as needed.
Once all information is entered, save your class.
4. Create a Schedule
After building all your classes, click Create New Schedule.
You will be able to:
- Enter a Schedule Name (this becomes part of the public URL)
- Select which Classes to display
- Choose to show:
- Instructor names
- Class capacity
- Toggle whether the schedule is Public (Active) or Inactive
Once created, the schedule generates a static public link.
You can:
- Copy and paste the link
- Open it in a new tab
- Share it publicly
The link remains the same even if you update the schedule.
Note: This schedule is for display purposes (like a living PDF). Attendance check-ins are handled separately in the Attendance section.
5. Manage Categories & Spaces
Within the Class Management System, you can also:
- Create and manage Categories (for better sorting)
- Create and manage Spaces (e.g., Front Room, Back Mats, Training Room)
These help organize your classes and schedules.
6. Create & Automate Surveys
Click into the Survey section to create post-class or milestone surveys.
Click New Survey.
You can:
- Add a Survey Name
- Set as Default Survey (optional)
- Preview the survey on the right-hand side
7. Configure Survey Triggers
Set automatic triggers for when surveys are sent:
- After a specific number of check-ins (e.g., after first trial class)
- After 10 classes attended
- Send only once (if desired)
This allows you to automate feedback collection at key milestones.
8. Set Rating & Review Automation
Choose your rating system:
- 1–5 stars
- 1–10 rating scale
- NPS (Net Promoter Score)
You can define a Positive Threshold (e.g., above 8).
- If rating is above the threshold:
- Automatically send a review request (Google, Facebook, etc.)
- Add your review page link
- If rating is below the threshold:
- Trigger a negative feedback form
- Collect internal feedback instead of sending to public review
9. Add Follow-Up Questions
You can include:
- Open text questions
- Multiple choice questions
Use this as an exit survey after class or for long-term students.
Examples:
- What did you enjoy most?
- What could we improve?
- How has your experience been so far?
10. View Survey Responses
Once surveys are submitted, you can:
- View responses
- See student information
- Follow up directly if needed
