Contacts Overview in the Market Muscles CRM
The Contacts Overview section of the Market Muscles CRM is where you can view, organize, and manage all of your leads, members, and contacts in one place. This article explains how to navigate the Contacts Overview, filter and export contacts, and manage individual contact records.
The Key Steps
1. Navigate to the Contacts Overview
Log in to your Market Muscles CRM. From the left-hand navigation menu, click Contacts, then select Overview.
2. Review Contact Types
At the top of the Contacts Overview page, your contacts are grouped by type:
- Leads
- Trials
- Members
- Past Trials
- Past Members
- Contacts
These categories help you quickly identify where each contact is in their customer journey.
3. Select and Take Action on Multiple Contacts
Use the checkbox to select one or more contacts on the page. After selecting contacts, you can use the action buttons to:
- Add a note
- Update a tag
- Compose an email
- Send an SMS
- Assign a workflow
- Delete contacts
This is useful when you need to take the same action across multiple contacts at once.
4. Review Spam and Export Contacts
Click Spam near the top of the page to review any spam contacts that have entered your system.
You can also export contacts directly from the Contacts Overview. Exports can be created:
- For all contacts currently displayed, or
- Based on filters or Smart Lists you apply
5. Create Filters and Smart Lists
Click Filters to build a dynamic Smart List.
For example, you can:
- Set Type to Leads
- Add a Tag such as Kids Martial Arts
The results will automatically update based on your criteria. Click Save as Smart List, name the list, and save it. Saved Smart Lists can be reused for workflows, emails, and SMS campaigns.
6. Add a New Contact
From the Contacts Overview page, click New Contact.
Choose the contact type, enter the contact’s information, and save to create the contact record.
7. View and Manage an Individual Contact
Click on any contact to open their profile. Inside the contact record, you’ll see a secondary navigation menu with detailed sections for that contact.
Use the Actions dropdown at the top to:
- Create agreements or signing links
- Request a payment method
- Book appointments
- Perform other contact-specific actions
8. Review Contact Information at a Glance
Within the contact profile, you can quickly view:
- Tags
- Date created
- Family unit (if applicable)
- Recent notes
- Unread messages
- Upcoming appointments
You’ll also find sections for memberships, ranks, rosters, and invoices related to that contact.
9. Edit Contact Details and Custom Fields
Click Edit Contact to update a contact’s information.
If you use Custom Fields, you can add or update those values here. Once saved, custom field data will appear on the contact record for easy reference.
The Contacts Overview gives you a complete, easy-to-use view of your contacts and the tools needed to manage communication, automation, and customer relationships efficiently.
